Context

Context

At VendorSmart, each Management Company can offer customized plans to their Vendors. This makes it possible for a Vendor to subscribe to several different plans if they are connected to more than one Management Company.

Our internal users responsible for onboarding new Vendors onto the platform needed an easier way to create and edit Plans and Bundles directly within the product, instead of having to log into Stripe.

This way, we could limit three main points: the number of repeated plans, unlimited discount coupons, and the permission level of each user.

Goal

Bring all the functionality of Stripe inside the VendorSmart platform.

At VendorSmart, each Management Company can offer customized plans to their Vendors. This makes it possible for a Vendor to subscribe to several different plans if they are connected to more than one Management Company.

Solution

We built a new module called Billing, divided into Plans and Bundles. We also brought Subscriptions inside the Vendor's profile, displaying the plans that the Vendor is subscribed to.

Plans

Plans

We created a simple list of plans, showing the plan name, last update date, billing period, and their price. The user could either create a new plan, edit an existing one or preview how the plan would be displayed on the Onboarding.

When creating or editing a plan, all data migrates to Stripe and the user can preview how the plan will be displayed for the Vendor.

Some custom preferences were added, such as the option to display a tag next to the plan name and the ability to include benefits and features anytime. This helped our Marketing team to become independent when creating A/B testing within our product.

Bundles

After the creation of Plans, they could then be clustered to become a Bundle. This would be a collection of Plans offered to the Vendors on their Onboarding process. Completely customizable!

The user could either create a new bundle, edit an existing one or preview how it would be displayed. Same process as in Plans.

When creating a new Bundle, users can add a description and choose Management Companies related to the Bundle. They can also include up to four Plans, change their display position, set one Plan as the main choice and customize a tag next to the Plan name, including content and color.

If they're not completely sure about the information provided, they can save it as a draft, so no data is lost in the process.

And if there's any conflict within Management Companies when activating, we provide the option to select either the current Bundle or a new one.

We had one special request from our internal team: have the ability to create Exception Bundles for specific associations and service categories within the Management Company. Exception Bundles have a higher priority over all others, that is, it replaces any other active Bundles. We made this feature by creating and associating exception rules.

Subscriptions

Subscriptions

A Subscriptions tab was added to the Vendor profile, informing all Management Companies they're linked to and their related Subscription. In this page we also show both subscription and compliance status of the Vendor. Our internal users can link a new Management Company, pay in behalf of the Vendor and also send them a payment link.
